How to Customize an InDesign Annual Report Template for your Nonprofit
Adobe InDesign is a strong option when it comes to non profit organization annual report format choices.
We'll use this nonprofit annual report template InDesign file for this walkthrough. To work along either use this sample nonprofit annual report or use a different non profit annual report template of your choice.
Note that you also can also work with a multi-page template, outside of designs created with nonprofits in mind. A great template can be adapted for a variety of situations!
Let's get started:
1. Understanding Guides
The first time you open an InDesign document, you might be a little visually overwhelmed. You might see a whole bunch of different rectangles and lines all over your document.
But don't worry—none of these lines will print. Some of them are guides. Like the name sounds, they're visual guidelines in your document. You can create guides of your own by clicking and dragging from your Ruler in your work area.
If you'd prefer not to see the guides (especially if they came included with your template), go to View > Grids & Guides > Hide Guides.
2. Understanding Rectangular Frames
But even with your guides hidden, you'll likely still see rectangles all over your document. What's up with that?
Well, in Adobe InDesign, most content is "held" within a rectangular frame. For example, look at the text below. See how the text appears to be inside of a box? This is a text box—or a rectangular frame that holds our text. We can resize this text box if we select it with our Selection tool.
Think of this like the space our text is allowed to occupy.
Don't want to see the Rectangular Frames? Hide them by going to View > Overprint Preview.
3. Edit Text With the Type Tool
Now, let's look at that same text box and make some edits to the text using our Text tool, as highlighted below.
It's as simple as selecting the Text tool and clicking on the type. You'll notice that it acts much like standard word processing software. Note that this text box is our active area—this is specifically where we're adding and editing text.
Want to create a new text box? With the Type tool selected, click and drag to draw a new text box. Then, add text just as you did in the previous example.
4. Placing Images in Adobe InDesign
Next, let's look at some other content we can potentially add to rectangular frames—images. Using the Selection tool, select one of the empty placeholder rectangular frames in your document.
Then, go to File > Place. You'll be prompted to select an image from your computer. In this demonstration, we'll use this stock image, right here.
Then, InDesign will automatically insert your chosen image into the rectangular frame.
5. Save and Export Your Work
Remember to save your work! If you go to File > Save, you'll most likely be prompted to save an INDD file—which is an InDesign Document file type.
This file type is a great fit for saving a working—and editable—version of your work. But it's not always the best choice for final distribution. For example, an INDD file would not be web friendly.
In cases like that, your goal might be to export something like a PDF file. Luckily, you can find these options under File > Export. Choose from a variety of files, such as PDF, ePUB, JPG, and more.
What Goes into a Nonprofit Annual Report? 3 Quick Tips for 2020
To get the most out of the templates presented in this article, make sure you've got a plan to put in place. This will ensure that you're presenting the most valuable information to whoever reads your report. It'll also give your nonprofit the best chance of attracting more donors.
Below I'll share a few tips and techniques you can use to create a complete nonprofit annual report. You'll find what you need whether you're looking to work with a small nonprofit annual report template, a charity annual report template, ngo annual report template, or an annual report of non profit organisation for any type, size, or focus.
1. Create a Plan
When your nonprofit takes on a project, the first step is to create a strategy. The same approach goes for your annual report. Here are a few key pieces of information that you'll need to gather to make the most out of the report
- collect all your financial statements
- collect fundraising metrics
- collect feedback from your nonprofit's supporters
2. Structure the Nonprofit Annual Report
The structure of your nonprofit annual report must be laid out in a way that shows all the essential information. Structure your report to ensure the reader of the report understands what your nonprofit is about and where it's heading. Here's a suggested outline:
- clear mission and focus
- list of projects you initiated
- financial statement
- details about major contributions
Using this structure will give your organization consistency and create a foundation for future reports as well.
3. Write the Annual Report
When it comes to the actual writing of the annual report, you'll want to make sure that you're presenting your nonprofit in the best light possible. But, be honest.
Here are a few points that you'll hit on and a few items to add to the report.
- Focus on your donor's accomplishments. It can be easy to get caught up in your organization's accomplishments. Highlight the contributions that donors made to help support your projects. This shows whoever reads the report that your nonprofit was built by passionate supporters
- Use visuals to keep readers engaged. Annual reports for nonprofits contain plenty of numbers and text. These numbers and text can be quite overwhelming to the reader. Use visually appealing graphics, charts, tables, and graphs to make the data easier to understand.
- Be honest about the performance of your nonprofit. Show any mistakes that you've made in the past and solutions on how you plan to correct them. This will show potential contributors that you're proactive in solving your organization's problems.
- Inspire supporters to take action. Like any good landing page or marketing email, you need a call to action. Let your readers know what they can do after they read the report. This will be a great time to ask for donations and let them know where they can do so.

3. The Audobon Society
Check out this lovely spread from The Audobon Society. Your organization's annual report is the perfect time to highlight what your organization is working towards and fighting for. Here, we see a host of information on climate change.

5. The Animal Welfare Institute
Isn't this spread from The Animal Welfare Institute stylish? The emphasis on photography is not only beautiful to look at—it's purposeful. A direction like this supports the narrative.
What kind of narrative will you share with your audience—and how will your visual approach support this narrative?
